Privacy Policy

Look, we get it - nobody actually enjoys reading these things. But since we're handling your info, we figured you'd wanna know what we do with it. We've tried to keep the legalese to a minimum.

When you reach out to us or work with us, we'll collect some basic stuff - nothing weird or invasive. Here's the breakdown:

  • Contact details: Your name, email, phone number, address - basically how we can get back to you about your project
  • Project info: Whatever you share with us about what you're looking to build or restore. Property details, budget ranges, timelines, that kind of thing
  • Communication records: Emails, meeting notes, phone call summaries - we keep track of our conversations so nothing falls through the cracks
  • Technical data: If you visit our website, we might collect IP addresses, browser types, and how you navigate around. Standard web stuff really
  • Payment information: For invoicing purposes, though most of the sensitive payment processing goes through our accounting software, not our systems directly

We don't sell your data to anyone. Period. That's not our business model and honestly seems pretty sketchy to us.

We're pretty straightforward with what we do with your info:

  • Deliver our services: Can't design your building if we don't know what you need, right?
  • Stay in touch: Project updates, meeting reminders, answering your questions - the usual client communication
  • Legal compliance: Sometimes we gotta keep records for regulatory reasons, especially with heritage projects where documentation matters
  • Improve what we do: Understanding how clients find us and what they're looking for helps us get better at our jobs
  • Occasionally send updates: If you've opted in, we might share company news or interesting projects. But you can unsubscribe anytime - we won't take it personally

We're not running targeted ads or doing anything creepy with your data. We design buildings, not surveillance systems.

We keep things pretty tight, but there are a few situations where your information might be shared:

  • Our team: Obviously, the folks working on your project need access to your info. Everyone here signs confidentiality agreements though
  • Project partners: Engineers, contractors, consultants - if they're helping build your project, they'll need some details. We only share what's necessary
  • Service providers: Cloud storage, email platforms, accounting software - the tools we use to run our business. We vet these companies carefully
  • Legal requirements: If a court or regulatory body asks for information, we might have to comply. Hasn't happened yet, but legally we gotta mention it
  • With your permission: If you want us to share portfolio images or use your project as a case study, we'll always ask first

Again, we're not in the business of spreading your information around. Your privacy matters to us.

Our website uses some cookies - not the delicious kind unfortunately. Here's what's going on:

  • Essential cookies: These keep the site functioning properly. Can't really turn them off without breaking things
  • Analytics cookies: Help us understand which pages people actually look at and how long they stick around. We use this to make the site better
  • Preference cookies: Remember your settings so you don't have to keep adjusting things

Most browsers let you control cookies if you're not into them. Just know that blocking everything might make the site a bit wonky.

We don't use advertising cookies or track you across other websites. That's just not our scene.

We don't hoard information forever, but we do need to keep some stuff for practical and legal reasons:

  • Active projects: We keep everything while we're working together - that's just common sense
  • Completed projects: After a project wraps up, we typically hold onto records for about 7-10 years. This is partly for warranty purposes and partly because architectural records have historical value
  • Financial records: Tax authorities require us to keep invoices and payment records for at least 7 years in Canada
  • Marketing contacts: If you've signed up for updates but haven't engaged in a couple years, we'll probably remove you from the list

If you want us to delete your info sooner, just ask. We'll do what we can within legal constraints.

Under Canadian privacy laws (specifically PIPEDA), you've got some solid rights when it comes to your personal information:

  • Access: You can ask to see what information we have about you. We'll send you a copy within a reasonable timeframe
  • Correction: If something's wrong or outdated, let us know and we'll fix it
  • Deletion: Want us to erase your data? We'll do it unless we have a legal reason to keep it
  • Opt-out: Don't want marketing emails? Click unsubscribe or shoot us a message
  • Data portability: Need your information in a usable format? We can provide that
  • Withdraw consent: Changed your mind about how we use your data? You can revoke permission anytime

To exercise any of these rights, just email us at info@nemyxonthalquinth.info or call (416) 555-0847. We'll respond within 30 days.

If you think we've mishandled your information, you can also file a complaint with the Office of the Privacy Commissioner of Canada. We'd prefer to work it out directly though.

We take data security seriously - it's not just about compliance, it's about respecting your trust:

  • Encrypted storage: All digital files are encrypted both in transit and at rest
  • Access controls: Team members only get access to the information they actually need for their work
  • Secure communication: Our email and file sharing systems use industry-standard encryption
  • Regular backups: We backup data regularly to prevent loss, but those backups are just as secure as the originals
  • Physical security: Paper documents are kept in locked cabinets at our Toronto office
  • Software updates: We keep our systems patched and up to date to prevent vulnerabilities

No system is 100% foolproof, but we're doing everything reasonably possible to protect your information. If there's ever a breach, we'll notify you and the relevant authorities as required by law.

We're based in Toronto and primarily work within Canada, but sometimes data crosses borders:

  • Some of our cloud service providers have servers in the United States or Europe
  • If you're an international client, obviously we'll be transferring data across borders to work with you
  • Occasionally we collaborate with consultants or specialists in other countries

When data leaves Canada, we make sure it's protected by appropriate safeguards - either through legal agreements, certified frameworks, or choosing providers with strong privacy standards.

Different countries have different privacy laws, which means your information might not have the same protections everywhere. We do our best to minimize these risks.

Privacy laws evolve, our business practices change, and sometimes we just realize we need to clarify something. When we update this policy, here's what'll happen:

  • We'll update the "Last updated" date at the top of this page
  • For minor changes (like clarifying language), we'll just post the updated version
  • For major changes (like collecting new types of data), we'll notify active clients directly via email
  • We'll keep an archive of previous versions if you wanna see what changed

It's worth checking back here occasionally, especially if you're an ongoing client. Or don't - we'll let you know if anything important changes.

If something in this policy doesn't make sense, or if you've got concerns about how we handle your information, please reach out. We're actual humans and we'll give you straight answers.
